Administrative Assistant
Festivals Division
RESPONSIBILITIES:
Assist in the day-to-day operations of the Festivals Division;
Handle the Division's overall database of programs and communications;
- Handle inquiries from the Division's official email, screen phone calls, and route communications to the appropriate party;
- Handle the Division's petty cash fund;
- Prepare reports and communications, such as memos, minutes of the meetings, payment requests, liquidations, and other correspondence forms related to the overall activities of the Division;
- Collate documents for signature of the immediate supervisor and coordinate with the Management offices for approval of documents with the Chief Administrative Officer, Executive Director, and Chairman;
- Coordinate with the Admin & Finance Division for release of grants and payment requests;
- Coordinate with the HR Unit for the collection and submission of DTRs;
- Develop and maintain a filing system for electronic and physical documents of the Division;
- Assist the Division in ad hoc responsibilities, and
- Perform other related tasks that may be assigned from time to time.
QUALIFICATIONS:
- Bachelor's degree in Communications, Office Administration, or a related field preferred;
- Excellent oral and written communication skills;
- Excellent administrative and organizational skills;
- Knowledge of office management systems and procedures;
- Fluent in both English and Filipino;
- Computer literate in Microsoft Programs, Canva, and Adobe.
