Administrative Assistant

Education Division

RESPONSIBILITIES:

  1. Assist the Education Head and program leads in the day-to-day operations of the division by handling administrative tasks;
  2. Prepare reports and communications, such as memos, emails, payment requests, liquidations, and other forms of correspondence;
  3. Provide real-time support in scheduling of activities, bookings, meetings, and other engagements of the Education;
  4. Handles inquiries, screen phone calls, and manages other requirements for proper routing to the appropriate party;
  5. Develop and maintain a filing system (electronic and physical files)
  6. Help update, maintain, and reinforce office policies and procedures;
  7. Maintain supplies inventory and help facilitate preventive maintenance of tools and equipment assigned to the unit;
  8. Assist in other clerical requirements and perform related tasks needed by the unit; and
  9. Performs other related tasks that may be assigned occasionally.
     

QUALIFICATIONS:

  1. Bachelor’s degree/diploma relevant to the position;
  2. Has excellent time management skills and ability to multitask;
  3. Proficient in verbal and written communications;
  4. Experience in drafting memoranda and other forms of correspondence;
  5. Has strong organizational and planning skills
  6. Ability to function well in a fast paced environment;
  7. Ability to maintain confidentiality; and
  8. Proactive and can work under minimal supervision.
